Advanced Search automatically compiles data from your School Manager into reports called Advanced Search reports.
Types of Advanced Search reports:
You can schedule these reports to be sent on a recurring basis by email or to a secure file server using Secure File Transfer Protocol (SFTP).
Before you start
If you are using Secure File Transfer Protocol (SFTP), you will need:
- The server address
- The login credentials for an account with access to save files.
- The server’s preferred key exchange algorithm, if your server uses a key-exchange protocol.
Create a new scheduled report

- Sign in to School Manager with your Owner/Global Administrator or Filtering/Reporting Administrator account.
- Under Reports, select the report you want to check.
- Select Dashboard actions (the three dots at the top right of the page), then select Schedule Delivery in the dropdown menu.
- If you have existing reports, Select New Report on the Schedules window. Otherwise, the create new report window will appear.
- In the Schedule Name section, enter a descriptive name for your report.
- Select the Recurrence of your report and the Time you want the report to be sent.
- Select the Destination, either:
- Email: In the Email Address section, type a recipient's email address, then press the enter key. If needed, repeat this step for multiple recipients.

SFTP:
- Enter your SFTP server address in the Address section with the leading “sftp://”.
- Enter the Username and Password for the account with access to send files to the server.
Tip
You can use the Test now button to send the current report to the recipient's Email address or SFTP Destination.
- Select the Format from:
- CSV zip file: Raw data without graphs in a text format you can import into a spreadsheet application.
- PDF: Graphs and tables in a multiple-page printable format (you can specify paper orientation and size).
- PNG: Graphs and tables captured in a single, long image (with no page breaks).
- Select Save.
Additional Scheduled report options
You can further customize a scheduled report by changing the Advanced options to fit your recipient’s needs. You can set Advanced options for:
- New reports during the creation process
- Existing reports by selecting More Options (three vertical dots) next to the report.
You can also duplicate or delete existing reports in the More Options menu.
Filters
The Filters tab allows you to edit the Advanced Search fields for your scheduled report. The filter options vary for each report. For example, you can add a Group filter or change the preset date range in a saved scheduled report.
Advanced options
You can use advanced options to make the display or layout of the scheduled report more useful to your recipient. Advanced options will vary depending on your report format. You can use the following table to choose the best options for the data in your report and send a test report to ensure all text and images are readable.

Expand table to show all rows Breaks long tables across multiple pages, scaling down the table width and font size to fit all columns. If your data has more than 10 columns, the text may be hard to read in a PDF. Use the CSV zip file format instead. |
