Deleting End-Users in School Manager

This article is for IT Support and users with the Configuration Administrator role.

This article explains how to delete (purge) local and synced end users from School Manager.

About School Manager users

There are two broad types of users in School Manager: end users who access your school's network and resources, and system users who can access School Manager itself. This article is about the first group: the students, teachers, non-teaching staff, and other people who use your school's network.

We can split the end user group into two sub-groups, based on how you created them:

  • Local users: Users you created manually.
  • Synced users: Users you added to School Manager by syncing it with an authentication service or School Information System (SIS).

Warning

Purge Users is a tool for resetting all end-user data. Exercise caution and only purge users as a last-resort troubleshooting option.

Warning - Linewize Community

Purging breaks the connection between parents and students. If you purge connected students in School Manager, you must re-sync or re-upload parent data to establish the parent/child connection. Parents won’t be able to use Student Usage and Insights and Pause Internet until you have restored the connection. If more than 60 days pass between the purge and re-sync/re-upload, affected parents will need to follow the student connection process again. More information can be found in the Removing parents from students in Linewize Community article.

Deleting local users

You can manually delete individual local users, which will permanently remove them from School Manager.

Warning

You can’t restore deleted local users.

Deleting a local user

You can permanently remove a single local user from School Manager using the Delete function.

  1. Go to Configuration > Users and Groups.
  2. Find the user.
  3. Select the user's Delete icon (trash can) under Operations.
  4. A confirmation window will appear, select Delete User.

Deleting (Purging) all local users

You can permanently delete all local users using the Purge Local Users function. This will not affect synced users.

  1. Go to Configuration > Users and Groups.
  2. Select Purge Users.
  3. Select Purge Local Users.

Purging synced users

You should use your SIS or authentication service to manage synced users. Your vendor will provide instructions that explain how to remove users from your service. While you can make changes to synced users using School Manager, these changes are temporary and will be undone the next time School Manager syncs.

Deleting a synced user

Warning

Purging will permanently remove the synced user until the next sync. You should only purge synced users outside school hours to avoid users being unfiltered or not showing in Classwize.

To permanently remove a synced user, follow these steps.

  1. Remove the user from your SIS or authentication service.
  2. Go to Configuration > Users and Groups.
  3. Select Purge Users.
  4. Select Purge Imported Users.
  5. Go to your SIS or authentication service in School Manager.
  6. Wait for the nightly sync or manually start an SIS or authentication sync in School Manager.

Purging all synced users

You can temporarily remove all synced users while leaving local users unchanged. Your SIS and School Manager will add new users the next time they sync.

  1. Go to Configuration > Users and Groups.
  2. Select Purge Users.
  3. Select Purge Imported Users.

Purging all users

You can both permanently delete all local users and reset all synced users at once. School Manager will add a new set of users from your SIS the next time they sync.

Warning

Purging will permanently remove all local users. You will not be able to restore these local users.

  1. Go to Configuration > Users and Groups.
  2. Select Purge Users.
  3. Select Purge All Users.
