Sync Google with School Manager

If your school uses Google Workspace for Education, you can import your Google Users, Groups, and Classrooms into School Manager. After syncing, you can use this data for classrooms in Classwize or Google sign-in using the Captive Portal.

Before you begin

Important

The Super Administrator role is necessary because Google Classrooms can only be synced with an account at that level. However, Linewize does not gain full Super Admin access. Linewize only use read access for the specific data required, utilising permissions through a token generated by your account credentials. This ensures that Linewize can’t access or modify any other data in your Google Workspace.

You will need a minimum of 15 minutes to complete the configuration. The initial sync can take up to three hours, depending on the size of your directory.

To turn on Google integration with School Manager, you will need:

  1. Your school’s Google domain.
  2. Credentials for a Google domain account with Super Administrator privileges to turn on Google API.
  3. Your OAuth Client ID and Client Secret.

You must also turn on the following Google Sync Permissions:

  • View organization units on your domain.
  • View groups on your domain.
  • View users on your domain.
  • View the email addresses of people in your classes.
  • View your Google Classroom class rosters.
  • View your Google Classroom classes.

 

Set up the Google Integration 

Required Settings 

  1. Sign in to School Manager and go to Configuration > Authentication > Google.
  2. Select Enabled.
  3. In the Administrator field, type in the email address of your Google Workspace Super Administrator account.

Optional Settings 

Setting Description
Sync Classrooms Turn on to let Google Classrooms, including assigned students and teachers, sync with Classwize.
Sync Groups by ID Turn on to sync multiple groups with the same name, and strip domain doesn't apply to groups anymore. Changing this can invalidate existing filtering rules.
Domain Filter Turn on to use a CSV list of domains. Only users and groups attached to these domains will be synced.
OAuth Client ID and Client Secret

Enter your OAuth credentials to increase Google Classroom sync speed. You must provide your OAuth credentials if you want to let teachers sync classes from Classwize.

Important

Ensure the Client ID and Client Secret are filled before linking.

Strip Domain Turn on to import users as username instead of username@example.com
Organizational Unit Filter Turn on to filter the organizational unit. This will also turn on Ignore Empty Groups and Ignore Empty Classrooms.
Ignore Empty Groups Turn on to ignore empty groups.
Ignore Empty Classrooms Turn on to ignore empty classrooms.
Use FZ Auth API Turn on to use Linewize Cloud Authentication instead of Google OAuth.
Allow Chrome Extension Authentication Turn on to use Linewize Connect for Chrome to a user’s device.
Sync Organization Units Turn on to sync any existing organizational units in your Google Workspace.
  1. When set up, select Save.

 

Link your Google Credentials 

Important

If using OAuth, ensure the Client ID and Client Secret are filled before linking.

  1. Sign in to School Manager and go to Configuration > Authentication > Google.
  2. Select Continue with Google on the right-hand panel.
  3. You will be redirected to a Google authorization page. It will auto-populate the Username in the Administrator field.
  4. Select Next, then enter the Password.
  5. Select Allow, and you will be redirected back to the School Manager interface.

 

Run Sync

  1. Sign in to School Manager and go to Configuration > Authentication > Google.
  2. Select Run Sync on the right-hand panel.
  3. When sync is complete, you will see the results.
Result Description
User Unchanged How many users remained unchanged from this sync.
Users Added How many new users were added from this sync.
Groups Unchanged How many groups remained unchanged from this sync.
Groups Added How many new groups were added from this sync.
Classrooms Unchanged How many classrooms remained unchanged from this sync.
Classrooms Added How many new classrooms were added from this sync.
Sync Status

Completed or Failed.

Info

If the sync is unsuccessful, Sync Status will display “Failed” and an error message, you can use the error message to troubleshoot the sync.

Sync Started The time the sync started. The time is in your time zone.
Sync Finished The time the sync finished. The time is in your time zone.

The initial sync may take up to three hours to complete, depending on the size of your directory. You can still use School Manager while the sync is in progress. School Manager will sync with Google Workspace between 6 PM and 24 hours after the last sync time. You can manually run a sync if you need to expedite changes before the automatic sync period. You can also let teachers manually sync their Google Classrooms from within Classwize.
